JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

We are seeking a dynamic and adaptable Administrative Assistant to join our fast-paced Workforce Training + Professional Development department at Northcentral Technical College. This role involves the ongoing development, coordination, and implementation of training programs that serve area businesses. The ideal candidate will thrive in a variety of work settings, handling multiple tasks efficiently and effectively along with excellent customer service skills to support our mission of providing top-tier workforce training and professional development to our businesses and communities.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

This position specializes in the ongoing development, coordination, and implementation ofcontract training within Northcentral Technical College-Workforce Training + Professional Development department.

Examples:

  • Work in conjunction with Business Development Managers to coordinate project activities, collaborating with project team members, developing measurable project goals and objectives, and monitoring progress toward achievement.

  • Communicate course procedures, expectations, pre-work, location, and campus policies to all appropriate personnel including participants, contract owner, and instructor with professionalism and a high level of customer service.

  • Manage any contract modifications, including schedule changes, instructor changes, location changes, date changes, etc.

  • Work with NTC's budget system to monitor and track budgets related to funds spent from grant funds received, assuring grant funds are allocated for approved expenses on various Excel spreadsheets.

  • Process payroll and additional instructor payments.

  • Collaborate with other NTC departments to open and maintain appropriate customer accounts.

  • Invoice business partners and appropriate accounts for training delivered using finance software.

  • Prepare course documents such as completion certificates, class agenda, class roster, and handouts for distribution to instructors and students.

  • Create customized forms to manage registrations, including registration links, to collect participant information.

  • Coordinate technology requirements with instructors, students, and IT team for the appropriate delivery of learning activities.

  • Enter purchase orders, coordinate travel arrangements, and prepare accurate and timely payment authorizations and reimbursements for faculty.

  • Maintain accurate and timely internal division documentation records showing revenue and expenses for all contract work.

  • Facilitate the generation and completion of various professional assessments if applicable and prepare and distribute completed assessments to instructors and training participants.

  • Order appropriate supplies to meet the need of the course as determined by the instructor.

  • Review course catalog and submit new course requests to curriculum management team with full course description, contact hours, credit amount, and other relevant information following Wisconsin Technical College System (WTCS) specific guidelines.

  • Serve as the collaborative point of contact and professional resource to business partners, NTC staff, customers, and the community actively engaging support within NTC.

  • Other duties as assigned.

Education:Associate's Degree (or Equivalent)

Experience:2 Years

Additional Experience Information:

  • Two years' post-secondary education appropriate to position or an additional three years' appropriate experience may be considered as an equivalent for the two years' post-secondary education.

  • Two years of related experience in a professional business office setting.

  • Ability to communicate professionally, verbal and written, in a fast-paced office setting.

  • Demonstrated experience as a member of a team; strong customer service experience; strong work ethic; and positive attitude.

  • Ability to thrive in a fast-paced and changing environment, quickly adjusting to new processes, priorities, and roles as necessary.

  • Demonstrated proficiency in identifying issues, analyzing problems, and developing effective solutions.

  • Apply college-level math competencies.

  • Proficiency in using computer technologies, including software applications such as Word, Excel, Access, and PowerPoint, Workday database functional use, and incorporate AI technologies.

  • Attention to detail.
