Job Description
Team Summary
The Latin America and Multi-Country Programs team has oversight on the management of restricted grants to drive impact and ensure compliance. The team supports in-country Directors, Managers, and other staff, to effectively follow Search and donor policies and procedures regarding grant implementation. This function commences with the signing of a grant and completes with the final close-out. This involves monitoring, reporting, and where appropriate, engagement with donors. It involves oversight on both program quality and compliance, working in close collaboration with other departments, including Finance, the Institutional Learning Team, Strategy Alignment, Program Quality, Communications, and Human Resources. The team aims to build and strengthen the capacity of program implementation at Search and with partner staff in-country.
Responsibilities
  • Supports project start up, project close out and documents lessons learned in the course of implementation.
  • Supports report development and review.
  • Supports program review, spending review, and forecasting.
  • Supports invoicing, compliance, and other back office support for grants and contracts.
  • Supports partner management.
Contributions
  • Supports project teams in the preparation of timely and quality project reports for donors in compliance with donor and internal Search requirements.
  • Supports the utilization of project management tools in tracking program expenditures and forecasting project activities and expenditure in line with the approved budget and the work plan for both Search and partners.
  • Supports compliance with USAID contract rules and regulations, including documentation, approvals, and related tasks.
  • Participates in project start up, periodic project reviews, and project close-out processes, and ensures that these are documented, shared, and archived appropriately.
  • Participates in regular monthly budget versus actuals (BVA) review meetings, costed work plan review, management analysis of projections and circulates minutes and close follow-ups of action points.
  • Supports the Latin America and Multi-Country team in highlighting and documenting success stories and factsheets highlighting results of Search programming.
  • When called upon, works with country offices (finance and technical teams) and proposal managers to develop or support the development of budget and budget notes based on capacity/availability/skill level of country office staff.
  • Supports subaward processes by ensuring all required documents such as selection memos, background checks, capacity assessments are completed to facilitate final sign off.
  • May be called upon to participate in design calls and provide input in proposal and budget review for strategic proposals.
  • Deploys to country offices from time to time to provide technical and start up support based on need.
  • Performs any other related task that may be allocated by the Regional Director.
  • Other duties that are broadly in line with the above key contributions as assigned.

Required Skills
  • Fluency in written and spoken Spanish and English is required; knowledge of other languages is an advantage.
  • Knowledge or experience related to The Northern Triangle, especially Guatemala, is an advantage
  • USAID project management experience, especially with contracts, is an advantage

Education and Experience
Typically BS/BA with minimum 3 years' experience.

Working Conditions and Physical Requirements
Flexible hybrid working environment; ability to travel internationally at least 20%.
