OVERVIEW

Merrick & Company, an employee owned engineering and architectural consulting firm with headquarters in Colorado and offices throughout the country, is seeking an Office Administrator in our Boise, ID offices. The position is temporary, with a duration of three months, 20-25 hours per week.

The Office Administrator will provide administrative support to the Merrick team and technical staff. Responsibilities include answering phone and directing calls, document control, word processing/preparation of documents, electronic filing, copying, meeting planning, and general office support.

Key Responsibilities

  • Provides support as requested to assure that the office is maintained in a professional appearance and assists with organization, functionality and preparedness of office equipment, supplies, and conference rooms.
  • Assists with travel arrangements, expense reporting, and word processing.
  • Responsible for typing and integrating accurate edits into engineering reports and specifications as well as quality checking for typographical and grammatical correctness.
  • Arrange office events (team building, holiday party, community events, etc.).
  • Organize and maintain employee and client badge/key access.
  • Organize and maintain client computer system access.
  • Maintain training database for the team.
  • Help engineers track & maintain PE license.
  • File and retrieve documents & drawings to/from client system.
  • Prepares a variety of correspondence, memorandums, briefings, and other reports required for day-to-day operation.
  • Maintains project records, files, statistical data, action items, time and attendance records, and meeting minutes.
  • Makes phone calls to customers to provide project updates and schedule appointments for site visits conducted by the design teams. Creates and maintains phone log.
  • Fills out and manages site visit schedule and coordinates best travel route for teams to use for site visits.
  • Provides administrative support including typing/word processing, mail preparation, copying, and distribution.
  • Meets expectations for attendance and punctuality.
  • Assist compiling engineering packages.

Requirements

  • Three (3) to five (5) years of experience working in a similar administrative role in the client service fields such as Engineering, Architecture or Consulting Services.
  • Associates Degree preferred.
  • Must be proficient in Microsoft Office applications, particularly the latest versions of Word, Excel, Outlook, PowerPoint, and Access. MS Project experience is desirable.
  • Knowledge of Adobe and/or Bluebeam is required, as is the ability to learn new software (ex: Newforma construction and design management software).
  • Client projects for this position require U.S. citizenship and the ability to pass an enhanced background check.
  • Strong organizational, problem-solving skills, multi-tasking abilities and attention to detail.
  • Must be able to meet deadlines in fast-paced quickly changing environment.
  • Exceptional interpersonal and communication (written and verbal) skills. Friendly and professional demeanor.
  • Must have a valid driver's license, a good driving record, and be insurable under Merrick's insurance carrier.
  • Local candidates preferred.

  • Typical hourly pay range for this position is $30.00 - $37.00. Pay offered may vary depending on job-related knowledge, skills, and experience.
