Position Summary Information

Primary Purpose
Under the general supervision of the Director of the Pacific Health Care Collaborative (PHCC), facilitate academic operations, accommodations, and coordination of student services across departments and campuses. This role also involves organizing events aligned with the academic calendar, delivering co-curricular programming, and supporting admissions activities like interviews and campus tours. Additionally, in collaboration with the Director, faculty, and staff, contribute to the long-term goals and strategies of the School of Dentistry while performing other assigned duties.
Essential Functions
  • Coordinate meetings and serve as a liaison between the Director of the PHCC and current students.
  • Provide support to students, including requests for documentation, absence notifications, and general Academic Affairs and Registrar operations.
  • Provide onsite assistance for exam operations, including addressing technical issues, enforcing academic integrity, posting seat assignments, and distributing materials.
  • Facilitate testing accommodations for students designated by Academic Affairs.
  • Assist students with in-person exam reviews and ensure confidentiality, privacy, and protection of exam material.
  • Coordinate with vendors and other departments to arrange services based on course/program needs, including catering, IT support, room set up, etc.
  • Create, distribute, and prepare online surveys and/or arrange focus groups, collect data and/or outcomes for distribution and analysis.
  • Provide administrative assistance and support to IDS Program faculty and/or staff as needed, including preparing presentations, reports, and online surveys.
  • Under direction of the Director of the PHCC and/or Dugoni teams, plan and coordinate student events, activities, and co-curricular/extra-curricular programming across campuses.
  • Facilitate Sacramento campus scheduling of Academic Calendar events like orientations, ceremonies, dean's lunches, student leader elections, etc.
  • Be aware of resources available to international students and refer them as necessary, including but not limited to the International Student and Scholar Services (ISS) Coordinator and Office of International Programs & Services.
  • Coordinate Sacramento dental clinic/campus tours and give them when needed.
  • In partnership with the San Francisco Campus Office of Student Services, assist with on-campus admissions orientations, interviews, interview days, and campus tours.
  • Participate and support long term goals and strategies to meet changing needs of the department and dental school.
  • Perform all other duties as assigned by Academic Support Services Manager and/or Assistant Dean of Academic Affairs.

Minimum Qualifications
  • High School Diploma or GED.
  • Three (3) years of administrative support experience.
  • Intermediate level knowledge of Microsoft Word, Excel, Access, PowerPoint and e-mail systems.
  • Experience with principles of business letter and report writing.
Preferred Qualifications
  • Bachelor's Degree.
  • Take initiative in time management, organize assignments and set priorities to meet multiple deadlines.
  • Current educational technology resources and online resources (i.e. Canvas, Qualtrics, PubMed, Zoom). desirable.
  • Communicate effectively with various stakeholders.
  • Develop processes to create and disperse knowledge of student services available in Sacramento and/or San Francisco and refer students as necessary to the proper office and/or department.
  • Work productively under pressure with minimal supervision; contribute and collaborate positively within a team environment.
  • Maintain high level of confidentiality of information.
  • Demonstrate excellent attention to detail, problem solving, judgment, customer service and follow-through skills.
  • Project a professional image, demonstrate strong interpersonal skills and communicate in a collegial and professional manner with administrators, faculty, staff, and students.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work performed is primarily general office/administrative with frequent use of computer keyboard and phone. Work performed during standard business hours.
Hiring Range $28.85 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer.
