Job Title: Staff Assistant
Reports to: Chief of Staff
Salary: $43,000 - $54,000/annually, generous benefits package
Location: Madison, WI (Please note: Employment with the Democratic Party of Wisconsin requires residence or willingness to relocate to the state of Wisconsin.)
Start date: Summer 2024

The Opportunity: In this role, you will report to the Chief of Staff and help direct the flow of incoming inquiries to the correct department by staffing the front desk at the Madison office, answering the main phone line, and managing the organizational info email inbox. You will also assist the Chief of Staff in scheduling for the Chair and follow up in his inbox.

Job Responsibilities:

  • Staff the Madison office front desk and answer incoming phone calls during normal business hours.
  • Assist in scheduling for the Chair in consultation with the Chief of Staff.
  • Own follow-up on to-do items in the Chair's inbox as assigned.
  • Assist in coordinating travel arrangements and occasionally drive the Chair to meetings or events, ensuring a timely arrival.
  • Compile the slides for weekly All Staff meetings, keep meeting notes and recordings organized and updated, and send out follow-up messages to All Staff with meeting highlights.
  • Manage the organization's general info email inbox.
  • Partner with Senior Leadership in updating the organization-wide events calendar, ensuring it is as inclusive and comprehensive as possible.
  • Complete additional administrative tasks as requested by Senior Leadership including ordering and tracking gifts and flowers sent to friends of the party
  • On-year requirements include working outside of normal work hours; including canvassing and other election preparation as necessary.

  • Organizational Skills - Demonstrated ability to handle incoming information from several mediums while remaining incredibly organized and establishing time to look ahead and potential scheduling issues.
  • Confidentiality Management - Must have the ability to navigate multiple sources of confidential information with discretion.

Qualifications (Preferred):

  • Experience with scheduling and the ability to handle multiple calendars with the intention of looking ahead and avoiding any overlaps.
  • Inbox organization and management experience.
  • Customer service experience.
  • Experience of working in a political party or on an election campaign.
