Executive Assistant

Enhances executive leadership effectiveness by providing administrative and clerical support such as conducting research, handling information requests, preparing correspondence, receiving visitors, and maintaining office inventory and supplies. Responsibilities include working collaboratively with senior level executives by building trustworthy relationships, coordinating meetings and conference calls, preparing presentations, and managing team's calendars. Also implements and maintains crucial follow-up systems. Assists all departments with ad-hoc requests related to finance, human resources, operations, administration, business development and contract management. Directly involved in all aspects of the company.

Job Duties :

  • Executive Assistant to President & COO
  • Manage COO's calendar: Update calendar, schedule meetings.
  • Manage and schedule all aspects of, routine meetings, conference calls, prepares agendas, and ensures timely follow-up for tasks assigned to the team during meetings.
  • Contribute to team effort by administrative support.
  • Create and maintain all meeting minutes / notes.
  • Welcome visitors by greeting them, in person or on the telephone, answering or referring inquiries.
  • Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Receive, sort, and distribute daily mail.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Produce reports and presentations
  • Handle correspondence directed to the Sr. Management team
  • Act as the point of contact between the executives and internal or external colleagues
  • Establish and maintain effective working relationships at all levels.
  • Make travel arrangements and detailed travel itineraries
  • Handle confidential information and communications
  • Use discretion, judgement, and knowledge to facilitate the executive's activities.
  • Able to work independently and as a team member.
  • All other duties as assigned.

Responsibilities:

  • Support executive in staff capacity by handling a wide variety of situations involving the administrative functions of the office that cannot be brought to the attention of the executive.
  • Advise individuals inside and outside the organization on the executive views on major policies or current issues facing the organization.
  • Contact or reply to contacts from high-ranking individuals who may be from large national or international firms and may involve unique situations and each contact must be handled differently, using judgment and discretion.
  • Organize and arrange for staff members to represent the organization at meetings and conferences, using their own initiative.
  • Note commitments made by executives during meetings and arrangements for staff implementation.
  • Read outgoing correspondence for executive approval and alerts writers to any conflicts or departure from policies or executive's viewpoints.
  • In the executive's absence, ensure that requests for action or information are relayed to the appropriate staff member.
  • Interpret requests, helps implement action, and decides whether executives should be notified of important or emergency matters as needed.
  • Analyze unit operating practices, such as record-keeping systems, forms control, office layout, suggestion systems, personnel, and budgetary requirements, and performance standards to create new systems or revise established procedures.
  • Prepare reports including conclusions and recommendations for solutions of operational and administrative problems. Issues and interprets operating policies.
  • Coordinate collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.
  • May compose and sign correspondence for the executive.
  • May serve as the executive's representative at meetings and express the executive's viewpoints at such meetings

  • Requires a Bachelor's Degree or its equivalent in Political Science and/or English
