Job Description

Position Summary: The Administrative Assistant provides general office and project related support including assisting visitors, volunteers and staff, answering telephones, and general administration duties. This is an on-site position.

Essential Responsibilities:

  • Provides timely communication, feedback and follow-up to staff, leadership, clients, visitors, and volunteers.
  • Manages and distributes incoming calls, mail, email, and faxes.
  • Work with Corps officers / other staff to create, prepare, and send any mailings and thank you letters for donations, including those over $750.00, as needed.
  • Maintains inventory of supplies, furnishings, equipment; ordering supplies as requested
  • Ensure smooth communication with employees and timely resolution to their queries
  • Assist with the recording of all donations (mail and other) as directed and prepare income sheet for bookkeeper
  • Maintain spreadsheets (SHARE, SAL, corps members, donors, advisory board, youth)
  • Assist Corps Officers with maintenance of schedule and Outlook calendars
  • Maintain forms (social services, youth registration, Employment) as requested
  • Assist Corps Officers/staff with letter writing. Dictation or otherwise
  • Create or maintain Church related publications (worship bulletins, flyers)
  • Provide input to building upkeep and maintenance needs - report all problems, schedule outside vendors as needed
  • Attend meetings, including advisory board, recording notes and preparing minutes as requested
  • Volunteer coordination, Register to Ring, Volunteer databases.
  • Perform other duties as assigned

Qualifications:

Education/Experience:

  • High school graduate or equivalent (GED) required; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
  • Two years of office or administrative experience (preferred)

Skills, Knowledge & Abilities:

  • Maintain strict confidentiality
  • Excellent typing skills

Computer Skills:

  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and SharePoint
  • Willingness to learn new software as needed

Certificates and Licenses:

  • Complete Safe From Harm training, and keep current as needed
  • Must have a current valid driver's license and pass the Salvation Army Motor Vehicle Record check (MVR)
