Durst is a fast-growing company based in Rochester, NY that sells and services large format, label, and corrugated ink jet printers in North America. Job Overview: 

There are two positions available, each part-time. Work hours will either be 8:30 AM – 1:00 PM or 1:00 PM – 5:30 PM, 22.5 hours per week. This position is not eligible for group benefits but is eligible for NY paid sick time and prorated paid time off.  

This Office and Customer Assistant role has a blend of receptionist/customer service and administrative support duties. The role has a significant focus on customer service and supporting our service business unit at Durst North America and Vanguard to create a premium brand feel for end users by providing outstanding customer service to every visitor and incoming caller.  

This position is also responsible for overseeing the upkeep and maintenance of our company headquarters building and providing administrative assistance to leaders as needed. 

Job Duties: 

Receptionist/Customer Service 

  • Receives visitors and incoming calls with a smile, positive attitude, and genuine interest in providing the best service. 

  • Answers incoming calls and greets visitors. Answers main phoneline for Durst North America and secondary overflow of Vanguard service department.  

  • Takes messages or fields/answers all routine and non-routine questions.  

  • Routes calls/visitors to the appropriate individual or department. Warm transfer incoming calls to colleagues, ensuring that callers are connected with a live person, unless the caller specifically requests to leave a voicemail. Takes and delivers message if intended recipient is not available. 

  • Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information. 

  • Captures and processes customer inquiries in our service management system. Performs other administrative tasks to support the Customer Care function. 

  • Works in cooperation with other departments to cover phones. 

  • Acts as a liaison with other departments and people outside the organization to help ensure communication is transparent and proactive.   

Office/Administrative Support  

  • Ensures a clean, safe, and well-functioning environment for employees and visitors. 

  • Coordinates with cleaning staff to ensure cleanliness and tidiness of office spaces and common areas. Handles necessary and appropriate tasks not in the scope of the cleaning service. 

  • Coordinates facility repairs and maintenance tasks with external vendors, addressing issues promptly and efficiently. 

  • Schedules and organizes complex activities such as meetings, travel, conferences, recruitment interviews, and department activities. 

  • Updates and maintains office policies and procedures. Provide feedback and suggestions on ways to improve customer service and administrative processes.  Takes appropriate ownership to implement approved changes. 

  • Completes expense reports for assigned leaders.   

  • Professionally writes emails and letters, capable of making presentations and creating reports as needed. 

  • Performs local errands – company lunches, needed merchandise, organizes outside appointments.   

  • Sorts and distributes daily mail and courier packages.   

  • Maintains office supplies. 

  • Establishes, develops, maintains, and updates the (mostly electronic) filing system in an easy and clear methodology.  Retrieves information from files when needed.   

  • Works independently and within a team on special nonrecurring and ongoing projects. 

  • Performs other administrative tasks as assigned.

  • Advanced proficiency with Microsoft office or similar programs including Outlook, Word, Excel, and PowerPoint. 

  • Personal/professional references who can speak to the above qualifications. 

  • Strong record of reliable work history.  

  • Previous experience supporting multiple people/departments. 

  • Previous experience in a challenging customer service role is helpful. 

  • Ability to lift and carry objects up to 25 pounds and perform light physical tasks as needed.
