Job Title: Legal Executive Assistant – Technology and Digital Business

POSITION SUMMARY:
Are you a proactive administrative professional looking for a new career opportunity in the legal industry? As a Legal Executive Assistant at Godfrey & Kahn, you are able work with a specialized team of attorneys, paralegals and LEAs as part of a larger team. This position requires independent action in a fast-paced, complex environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Lead the management and administration of a large volume of time-sensitive communications
  • Maintain attorney business development contact lists through the firm’s CRM
  • Consistently and professionally communicate through internal and external calls and emails, building relationships with clients
  • Perform administrative tasks independently
  • Prepare, edit, and finalize, correspondence, legal documents, transcription, memos and other materials
  • Proofread all materials for typographical errors, office style conformity, accuracy and inclusion of required information and enclosures
  • Schedule and manage internal and external meetings and calendars, including working with the receptionist team to reserve meeting rooms and ensure meeting needs, such as refreshments and meals, are available as needed
  • Assist with continuous client outreach, contact, relationship building and marketing activities
  • Facilitate incoming and outgoing mail
  • Manage attorney expenses and check requests
  • Timely filing and maintenance of paper and electronic documents and records
  • Consistently and professionally communicate through internal and external calls and emails, building relationships with clients
  • Maintain business development contacts, RFP responses, communications, and other documentation related to timekeeper matters
  • Manage team workflow tracker, including team metrics
  • Timely filing and maintenance of paper and electronic documents and records
  • Assist in preparing, reviewing and finalizing client invoices
  • Coordinate travel arrangements
  • Monitor and report timekeepers’ CLE credits
  • Act as back-up for other Legal Executive Assistants as needed
  • Manage attorney board and other pro bono work
  • Perform all other duties as assigned

  • Communicate with team to gather critical information needed for various duties
  • Perform research as requested
  • Perform duties as assigned, such as assisting timekeepers with personal matters (schedule meetings, travel arrangements and manage calendars)

ADDITIONAL REQUIREMENTS:
  • Bachelor’s degree or equivalent experience
  • Excellent organization, time-management and prioritization skills
  • Proficiency in Microsoft Office Suite, SharePoint, Adobe Pro
  • Must have good organization skills
  • 3-5 years of experience, including knowledge of court documents, procedures, and filing in both State and Federal Courts
  • Paralegal Certificate and/or paralegal work a plus, but not required
