Position Summary
Under the direction of the Community Outreach Manager, the Community Outreach Coordinator provides operational and administrative assistance to advance the launch and longevity of community outreach initiatives such as the LifeLine Art Exhibition, comprehensive campaigns, and various targeted programs. This position provides a variety of administrative, coordination and logistical services in support of program operations and assists with information management for the team. The Coordinator will regularly collaborate with staff, volunteers, as well as other community partners in support of Versiti's mission.
Responsibilities
    Manages logistical aspects of the LifeLine Art Exhibit: exhibition dates, travel/shipping details, storage, and care for necessary replacements/repairs

  • Acknowledges receipt of correspondence and documentation in the absence of program leader or staff, and drafts preliminary versions of correspondence to be approved by the program leader or relevant staff

  • Assists team members in preparing and formatting documents (PowerPoint, Prezi, etc.), coordinating activities, and meeting deadlines

  • Liaises with Program members, community ambassadors, and consultants to coordinate logistical arrangements for workshops, training sessions and registry drives

  • Coordinates and disseminates internal and external materials, including publicity and background documents for events, related mailings or onsite distributions

  • Develops and maintains an efficient filing and tracking system for incentives, give-aways and collateral

  • Maintains and updates program databases related to events, mailing lists and newsletters

  • Create reports and updates for the program leader and other members of management

  • Maintains confidential records for the program leader

  • Coordinates the translation, proofreading and editing of documents as required;

  • Attends regular team meetings assisting with minutes, preparation and distribution of documents as required

  • Assists with maintaining and updating the Program's web site, and carries out specific web searches and social media posts
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification

  • Understands and performs in accordance with all applicable regulatory and compliance requirements

  • Complies with all standard operating policies and procedures
Qualifications
Education
  • High School Diploma required

  • Associate's Degree or knowledge and skills gained through college courses, additional coursework or related certifications preferred
Experience
  • 1-3 years Project management and/or previous administrative or related experience required

  • 1-3 years Marketing, promotion and/or social media management preferred
Knowledge, Skills and Abilities
  • Demonstrated customer service abilities, excellent writing and verbal communications skills required

  • Interpersonal skills necessary to properly address internal concerns, outside vendors, community partners, faith-based leaders and general public required

  • Analytical skills necessary to problem-solve and complete projects assigned required

  • Demonstrated attention to detail and accuracy with the ability to maintain focus required

  • Ability to plan, organize, and prioritize multiple tasks required

  • Proficient in using Microsoft Office Suite [Windows, Word, Excel, Calendar, etc.], e-mail, and database management systems preferred
Tools and Technology
  • Ability to use personal computer, printer, copy machine, and fax required

  • Ability to use multiple phone lines preferred
