Job Summary:

The UW Madison Stem Cell and Regenerative Medicine Center (SCRMC) operates under the School of Medicine and Public Health (SMPH) and the Office of the Vice Chancellor for Research and Graduate Education (OVCRGE). The SCRMC provides a central point of contact, information and facilitation for all stem cell research activities on campus. The Center's mission is to advance the science of stem cell biology and foster breakthroughs in regenerative medicine through faculty interactions, research support and education. Dr. Timothy Kamp (Department of Medicine) is director of the Center and directly supervises this position.

The SCRMC Administrative Specialist will report to the SCRMC Director. This position will coordinate complex daily activities of the Center, SCRMC faculty, members and students, and will communicate effectively with external stakeholders. This position is responsible for the center's program administration and support activities, including maintaining and updating membership lists and communications with memberships, coordinating promotional/informational event announcements, program bulletins, educational seminars, courses, meetings and professional development opportunities. This position serves as the primary contact person for over 100 faculty and staff members of the Center.

This position requires the ability to keep confidential information sensitive to the mission and work of the Center. This position also assists the SCRMC public communications and outreach specialist as needed.

Responsibilities: Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.
  • 25% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • 5% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • 10% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
  • 10% Serves on committees and attends meetings, representing the interests of the unit or program
  • 10% Assist with weekly Campus Stem Cell Seminar, CRB 625, Fall Conference and Wisconsin Stem, Cell Symposium
  • 5% Support regenerative medicine focus groups
  • 5% Purchasing/P-Card use and documentation

Education:

Qualifications:

- 2 years administrative and/or office experience required
- Experience with Microsoft office, proficient in Microsoft Excel and Word preferred
- Experience with computer software, specific experience in accounting database development, document production, print media, electronic publishing, page design, web development and web publishing (Photoshop; Acrobat) preferred

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Additional Information:

The position requires a person with the ability to work with general direction, excellent administrative, organizational and interpersonal skills as well as considerable independence in planning and implementation.

Knowledge of University, State and Federal fiscal and administrative rules, regulations and procedures including purchasing and travel.
