Job Description

Within the framework and objectives and policies established by the Campus Administrator the Resident Services Coordinator manages, supervises, schedules and coordinates all Housekeeping and Welcome Center staffing and services; facilitates and actively participates in the resident lease renewal process, coordinates the move out and move in process of the campus residences including the maintenance and make ready processes. Assists in providing walk-in tours to prospective residents and their families. Facilitates and/or performs a variety of administrative, accounting and clerical functions. Maintains residence maintenance log. Performs tracking of resident information through the resident databases. Coordinates all the administrative functions in conjunction with the Campus Administrator.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Hires, trains, disciplines, and schedules all Housekeeping and Welcome Center receptionist staff to ensure adequate staffing levels at all times.
  • Assigns and distributes work tasks to Housekeepers and Receptionists.
  • Generates annual Residency Agreement renewals, and assists with coordinating the renewal process including scheduling and meeting with the residents.
  • Generates billing for added services for residents.
  • Maintains and updates resident information database and files.
  • Reconciles petty cash and makes deposits as required on a timely basis.
  • Is knowledgeable in and capable of making data entries in the Resident Manager software program.
  • Reviews correspondence, responds to written and telephone inquiries as directed by the Campus Administrator.
  • Prepares reports and correspondence as requested by Campus Administrator including the compilation of data as obtained from a variety of sources.
  • Coordinates all move-out procedures assuring completion of all necessary notifications, changes in documentation, and walk-through information. In conjunction with Maintenance, housekeeping and other staff, assures readiness for resident move-ins.
  • Schedules subcontractors as needed to ensure readiness of apartments for new residents.
  • Assists in providing walk-in tours as directed by the Campus Administrator.
  • Monitors all electronic and alarm systems and complies with required testing.
  • May be required to work in other departments to perform tasks as required by the campus and as requested by Campus Administrator.
  • Conducts, attends and participates in departmental meetings, in-services, training, and community events as required.
  • Acknowledges, comprehends and supports the residents and the Resident Bill of Rights.
  • Maintains confidentiality of both residents and staff.
  • Interviews employees for hire, conducts performance evaluations, disciplines and recommends promotion, transfer and discharge.
  • Complies with all required local, state and federal regulations
  • All other duties as assigned

QUALIFICATIONS:

  • Must be a high school graduate although college education is preferred.
  • Minimum of six years administrative experience with two years supervisory experience.
  • Ability to read and understand written or verbal labels and instructions in English.
  • Ability to work cooperatively as a support staff with all departments of the organization.
  • Attend and participate in departmental meetings, in-services, training, and community events as required.
  • Availability to work nights, weekends and holidays.
  • Comfortable assigning and/or performing tasks, jobs, and/or projects in conjunction with day-today activities.
  • Computer literate with accurate data entry skills, and familiar with Microsoft Word and Excel.
  • Effective communication and interpersonal skills with the ability to work harmoniously with supervisors, peers, and subordinates.
  • High energy level, well organized, and the ability to perform short-cycle, repetitive tasks.
  • Maintain professionalism in all communication (verbal and written) and actions.
  • Must pass required pre-employment tests and screenings.
  • Prior experience working with the geriatric population preferred.
  • Strong interpersonal skills, tactful, mature, flexible, and possess the ability to get along with diverse personalities.
  • Strong organizational skills with the ability to multitask, and set and enforce stringent standards.
  • Strong supervisory skills along with the ability to delegate and work harmoniously with all levels of the organization.
