This is a full-time, overtime eligible position on the Olympia Campus of The Evergreen State College.
Position Purpose
Under the general supervision of the Mail Processing Manager, this position sorts, distributes, collects, and processes U.S., campus, and interagency mail and assists with day-to-day freight and mail operations centrally and at assigned campus locations. This position operates vehicles and other motorized equipment when delivering, collecting, and moving mail and freight.
Nature and Scope
Essential Functions
  • Classify and sort U.S., interagency, and campus mail, ensuring accuracy and efficient delivery order.
  • Deliver and collect U.S., interagency, and campus mail for students, staff, and faculty.
  • Processes bulk and individual outgoing mail that requires postage and/or special mailing classifications.
  • Provide customer service via phone, email, or in person, advise customers about shipping and mailing options, and assist with resolving routine customer problems.
  • Recommend methods of preparing materials, such as letters and parcels for shipping.
  • Assist students needing to update their address by providing instructions on how to update my.evergreen account information.
  • Assist with receiving and delivery of UPS, FedEx, and other types of freight.
  • Utilize digital and computer-based delivery, outbound mail, and tracking software and related tools, such as electronic scales, hand scanners, portable optical scanners, and inbound and outbound web tracking systems.
  • Utilize electronic and/or web-based programs and related peripherals for preparation and finalization of outbound mail and shipping via freight.
  • Input receiving and delivery information in Banner and look up individual orders and information for receiving.
  • Compare received items against purchase orders in Banner and follow up on inconsistencies.
  • Maintain a clean and orderly workstation and shared office space.
  • Open and re-direct generically addressed mail.
  • Operate vehicles and other motorized equipment, including forklifts, pallet jacks, flatbeds, and similar equipment to deliver, collect, and move mail and freight.
  • Keep vehicles and other motorized equipment clean and fuel; report mechanical issues in a timely manner.
  • Perform related duties as required.

Knowledge Skills and Abilities
  • Knowledge of current postal rules and regulations with the ability to stay up to date on changes.
  • Knowledge of mail handling, sorting, delivery, and collection techniques.
  • Ability to provide excellent customer service.
  • Knowledge of and skill in using mail and freight equipment and technology systems, including electronic scales, electronic tracking systems, data collection and financial systems, rate assignment systems, and other similar technology.
  • Skill in entering and looking up information accurately and organizing and maintaining electronic information and files.
  • Ability to perform detailed tasks under specific timelines with a high degree of accuracy and attention to detail.
  • Ability to use good judgment in safeguarding the transport and delivery of valuables.
  • Ability to work effectively with diverse groups of students, staff, faculty, and the public and foster an equitable and inclusive work environment.
  • Ability to establish and maintain a courteous and effective relationship with students, staff, faculty, and the public.
  • Ability to follow rules and safely operate college vehicles and other motorized equipment.
  • Ability to use standard office equipment and software, including Microsoft Office.
  • Ability to physically handle, sort, and deliver mail, parcels, and packages weighing up to 70 pounds, with assistance, which may involve lifting and the use of mail carts and hand trucks.

  • One year of experience sorting and distributing mail.
  • One year of experience providing customer service.
Conditions of Employment
  • Must provide proof of identity and employment eligibility within three days of beginning work.
  • This position is part of a bargaining unit and covered by a collective bargaining agreement.
  • Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
  • Prior to an official offer of employment, a Declaration Regarding Sexual Misconduct form must be submitted to the college per RCW 28B.112.080. The college will contact current and past employers to verify this information. Applicants who provide inaccurate information in their declaration will be disqualified and, if the inaccuracies are discovered after the applicant has been hired, it shall be grounds for termination.
  • Must meet the eligible driver requirements: 1) Valid U.S. driver's license, 2) 18 years old or older, 3) Two or more years of fully licensed driving experience, and 4) Clean driving record with none of the following within the past 2 years: Any suspension/revocation of license for reckless driving, hit and run, leaving an accident scene, failure to appear, DUI or other vehicle-related felony; or for multiple traffic offenses (2 moving violations/infractions in 12 months/3 moving violations/infractions in 24 months) resulting in a Conditional Status driving record or subsequent suspension/revocation of license.
