Essential Job Functions | The Reich College of Education (RCOE) is the designated professional education unit at Appalachian State University. RCOE seeks to provide a well-balanced program of classroom and clinical experience. The Administrative Support Specialist supports this mission by systematically staying abreast of the necessary program, departmental, and college needs and requirements related to university and college-level policies and protocols. This position provides the primary administrative and budgetary support for the Associate Dean for Student Affairs and Program Services in the Reich College of Education. Budgeting: This position is responsible for the administration of all RCOE Summer budget resources ($500,000+), which includes the establishment of an annual department allocation budget, distribution of budget, and contract development for all RCOE programs. The position develops recommendations and projected usage reports based on data analysis for review and use by the Associate Dean to determine appropriate allocation expenditures. This position is responsible for all Associate Dean Pcard expenditures and reconciliations, which requires an in-depth understanding of university and state policies and procedures. Information/Records Administration: Responsible for a variety of data collection, analysis and dissemination of data for college and department-level reports and projects. The position requires in-depth knowledge of programs, department and college-level programs and systems, university policies, Resource Manual, and faculty licensure to be able to address day-to-day and unusual situations. In order to establish budgetary goals and priorities, the position must accurately assess needs and set priorities based on previous annual budget data and analysis to assist the Associate Dean in decision-making for the college. Problem Solving: Utilize a high level of organizational and problem-solving skills to facilitate the student services demands of the Associate Dean's Office. The position must possess skills to independently and proactively resolve problems that arise related to the coordination of resources to support faculty licensure requirements from the NC Department of Instruction (DPI), college and university student forms/student services (Add/Drop, Exception to Drop, Financial Aid, Incomplete Grade, Special Course, Residency Licensure and others), Budget development and allotments, curriculum supports (AP&P) and college-level event planning. In order to successfully resolve issues and situations that arise in the Associate Dean's Office, the position must possess a strong understanding and knowledge and be able to interpret college, university and state-level (licensure) policies and procedures. It is imperative that this position is able to independently work through problems and bring to resolution and/or the ability to analyze complex situations and determine if they require Associate Dean or Dean review. Work Coordination: This position must work independently to facilitate, develop and maintain a variety of records for the Associate Dean and Deans' Offices. The must routinely develop new processes and protocols to more effectively and efficiently support the data and confidential record-keeping demands of the office related to student reports and forms, AP&P, faculty licensure, event planning and other demands. Maintain the Associate Dean's schedule. Utilize event planning skills for college- and university-level events as required. Utilize superior computer skills for student management information, up- and down-loading reports, and for meeting organization. Use computer applications to establish the college course schedule and for processes of program approval, accreditation and data reporting as required. Work within MS Office, on-line data management, and student services software as required. |
