Position Description:
As an Administrative Associate in the Research Office you will perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to visitors to facilitate successful achievement of the BRC’s mission in alignment with the BRC’s vision and values and in a manner consistent with established policies, procedures, and regulations.
Primary Functions
- Create complex workflow charts, spreadsheets, databases, macros, and templates. Maintain advanced knowledge of specialized BRC software programs, troubleshooting problems as needed.
- Create reports, presentations, minutes, letters, memos, and forms.
- Manage calendars, coordinate meetings, and prepare pertinent agendas or materials.
- Provide resolution to phone inquiries and prioritizing issues and routing calls as appropriate.
- Serve as key point of contact for a variety of audiences and independently compose e-mail and other correspondence, which may include confidential information.
- Anticipate and initiate action regarding administrative functions while coordinating and leading projects.
- Conduct research, compile data, and prepare presentations and reports for leadership review.
- Coordinate and perform status reports, project reports, and other types of information regarding special projects.
- Monitor department budget and summarize financial reports including monitoring expenditures, preparing purchase orders, check requests, and assist in budget development.
- Distribute mail and organize filing systems accurately maintaining records.
- Perform other duties as assigned.
Knowledge – Skills – Abilities
Excellent oral and written communication skills and advanced skill with Microsoft Office applications are essential. Strong knowledge of computers and mobile devices, clerical procedures, customer service standards, collaboration, and information management. Advanced skill with Microsoft Office applications. High degree of professionalism, strong critical thinking, problem solving and attentiveness to detail required. Ability to demonstrate responsibility and dependability when completing assignments, plan and organize work according to established priorities and complete assignments accurately within established timeframes. Demonstrates cooperation, courtesy and consideration when working effectively with varied people. Ability to work independently and as part of a team. Ability to effectively plan and organize projects impacting the work of others.

Appropriate experience may be substituted on equivalent basis
Minimum Required Education: Associate’s degree
Minimum Required Experience: 3 years
Preferred Field: Research, Healthcare, Veterinary in an administrative capacity.
