Accounts Receivable Specialist

Essential Duties and Responsibilities:

  1. Invoicing
  • Verify shipping documentation and process customer invoices in

ERP system

  • Determine method of invoicing required by customer and process accordingly:

   • U.S. Mail, Email, Fax, EDI

   • Enter invoices into Government required payment portals

   • Enter invoices into other EDI systems as required by the customer

   • Prepare summary invoices as required by the customer

  • Process AR adjustments/Credit Memos
  • Reconcile and process First Look sales orders
  1. Cash Receipts-Check/ACH/NSG
  • Pull AR invoices, referenced on remittances, from the open invoice file
  • Fill out AR cash receipt form
  • Record cash receipts in ERP system daily
  1. Collections
  • Maintain records of collection efforts for past due AR invoices
  • Work with Customer Service department to resolve discrepancies in payments
  1. Other
  • Filing
  • Commercial customer credit reference checks
  • Backup to vendor set up
  • Assist in quarterly Oracle patch testing
  • Assist in annual audit
  • Special projects as directed

Qualifications

  • Must be computer literate and have a working knowledge of Microsoft Windows, word-processing and spreadsheet software.
  • Must possess good analytical skills
  • Must be accurate, organized and detail oriented
  • Must be able to prioritize and meet goals and deadlines
  • Must be able to work and communicate in a diverse team environment
  • Handle multiple tasks, keep records current, excellent planning skills
  • Two years equivalent experience preferred
