Job Description

The Assistant to the Director of the Systems Engineering program will provide a full range of high-level administrative and program support. Coordinate and oversee Department events, including Ezra's Round Table Seminar Series, student recruiting events, orientation and graduation. Supervise program student workers including hiring, training, daily task assignments and time card approval.

Other responsibilities include:

  • Coordinating faculty searches and providing administrative support for search committee.
  • Arranging department events, meetings, conferences, and recruiting events on and off-campus.
  • Coordinating academic reviews and promotion reviews.
  • Compiling data for department reports; collect data, statistics, and/or other materials as necessary for various reporting requirements.
  • Managing all aspects of the distance learning student proctoring process and Systems seminar course support.
  • Processing all purchase order requests, reimbursements and procurement card transactions.
  • Managing the Directors' calendars and proactively manage events and deadlines.

*Hybrid work arrangements are permitted, allowing both time in the office and work from home within a commutable distance.

Required Qualifications:

  • Associate's degree and 2-4 years of experience in business administration; or equivalent combination of education and experience at the executive administrative level.
  • Demonstrated experience in supervising staff in the delivery of excellent customer service to diverse constituencies.
  • Excellent communication (written and oral), planning, organizational, interpersonal, and customer service skills required.
  • Proven ability to work independently under pressure, take initiative, and work effectively in a fastpaced environment.
  • Must possess a strong work ethic and be able to balance conflicting priorities and make decisions based on approaching deadlines.
  • Excellent judgment in dealing with wide variety of issues, often of a sensitive, confidential and complex nature.
  • Demonstrated ability to anticipate and diplomatically resolve issues.
  • Excellent computer skills, proficient using Microsoft Office (Word, Excel, PowerPoint), in addition to FileMaker and calendar management

Preferred Qualifications:

Bachelor's Degree and additional executive level administrative experience, or equivalent combination; relevant work experience in an academic setting.
