Responsibilities

About the role:

  • Compiles payroll data for processing and performs bi-weekly transfer of payroll data to payroll provider.
  • Creates and distributes bi-weekly payroll reports for DHQ.
  • Creates and distributes, via email, bi-weekly payroll journals for all locations for paperless payroll.
  • Assists supervisor with internal and external audits of payroll records, systems and procedures, including daily requests for payroll journals.
  • Generates monthly, quarterly, fiscal and year end reports, payroll journals and/or compensation reports for audits as requested by auditors.
  • Assists supervisor with the coordinating and conducting training of officers and staff on payroll and time systems.
  • Coordinates with finance and specific locations when direct deposit rejections are received.
  • Polls time in payroll system and reviews the employees information for completeness and accuracy for entire division. Contacts various department supervisors for missed hours or punches. Serves as backup for time record approvals for DHQ departments as requested or when necessary.
  • Investigates and resolves problems related to payroll.
  • Processes and enters garnishments in payroll system for all employees. Communicates with employees and payroll provider, as required. Implements garnishment fee and tracks payments.
  • In coordination with supervisor, enters new hires, re-hires, and employees change of statuses in payroll system, including time off accrual, direct deposit additions or changes and adding or removing deductions as needed.
  • Monitors stale dated checks works with employees and finance department to void and re-issue checks.
  • Approves and processes Bell Ringer applications. Scans all seasonal and temporary new hire paperwork into paperless storage system.
  • Processes weekly payroll for Bell Ringers and Christmas seasonal staff.
  • Responds to employment verifications for all employees in a timely manner, and within state and federal guidelines.
  • Manages the daily administrative password resets for employees for HR systems.
  • Assists HR Coordinator with scanning of confidential employee files into paperless storage system.
Qualifications

Minimum Qualifications:

The requirements listed below are representative of the minimal education, experience, skills, and/or abilities required for this position.

Education:

High School Diploma or equivalent

Experience:

At least two years payroll processing experience.

ADP Vantage payroll system experience a plus, but not required.

Certifications: None

Skills/Abilities:

  • Detail orientated
  • Excellent customer service skills and be able to communicate clearly and effectively
  • Good organizational skills and the ability to prioritize tasks
  • Excellent data entry skills
  • Maintain confidentiality
  • Strong computer skills, including Microsoft Office, internet and email
  • Familiar with payroll and timekeeping software
  • Knowledge of payroll procedures and local regulations
