Position Description
GENERAL SUMMARY: The Senior Meetings Manager-Programs will oversee all aspects of program planning and supervise on-site programmatic needs for the various scientific meetings and educational programs. Almost all scientific meetings are held outside the US.

POSITION RESPONSIBILITIES:
- Plan, coordinate and manage all programmatic (educational) aspects of the various meetings and programs.
- Work in close collaboration with the Senior Meetings Manager-Logistics to ensure complete coordination between logistical and programmatic needs
- With assistance from the Programs & Membership Coordinator, and in consultation with the Senior Meetings Manager-Logistics and the Executive Director, prepare Request for Proposals (RFP) as needed and manage the entire RFP process.
- Working closely with the Senior Meetings Manager-Logistics, plan and coordinate all aspects of speaker management
- Manage and coordinate all communications with speakers / presenters, including overseeing speaker materials (slides, papers, disclosures, copyright permissions, abstracts etc)
- With assistance from the Communications Coordinator, and in consultation with the Senior Meetings Manager-Program and the Assistant Director-Online Learning, plan, develop, manage and maintain any meeting-related web sites.
- Act as staff liaison to Congress Organizing Committee, Scientific Program Committee and Local Organizing Committee (for the Congress), and for other program-related committees as needed
- Assist the Outreach & Development Manager with the development of the Sponsor and Exhibit Prospectus
- Manage the development and production of the preliminary and final programs
- Working with relevant staff as necessary, ensure adherence to all CME-related requirements
- Manage and oversee the online Abstract submission process
- With assistance from the Programs & Membership Coordinator, manage and oversee the online registration process and the International Travel Grants process
- Other duties as assigned
AMOUNT OF TRAVEL REQUIRED: Approximately 2 4 weeks per year; some weekend work required.
EQUIPMENT USED: iMIS membership database, IBM PC with Windows environment, Excel and Word, all other office equipment (fax, copiers, etc.).
EDUCATION/EXPERIENCE REQUIRED: 4-5 years of meetings management experience and some marketing and/or public relations experience, computer proficiency, outstanding organizational and communications skills; Bachelor's degree preferred.
PHYSICAL REQUIREMENTS: Unrestricted mobility: must be able to walk great distances, move quickly from place to place, and lift and move boxes up to 50 lbs.
INTERNAL/EXTERNAL RELATIONSHIPS (clients and vendors): Internal: liaison with all staff and EDI support staff. External: Committees and members, leadership, supporters, decorators, exhibitors, hotel staff, etc.
