Position Description
POSITION SUMMARY:
The Senior Administrative Assistant is involved in all administrative tasks associated with the smooth and efficient operations of the office. This consists of providing comprehensive and proactive support for the President and Chief Executive Officer.
PERFORMANCE OBJECTIVES:
· The main objective is to assess and meet the administrative needs of the executive office so as to ensure maximum efficiency with a high level of professionalism and confidentiality.
· Identify the key resource needs to accomplish the objective, which may include but is not limited to managing workflow such as mail, correspondence (thank you cards, etc.), which should be accurate and well-written, telephone calls, electronic scheduling, including internal and external meetings, and travel planning. Make appropriate calendar records and remind the President and CEO of commitments.
· Compose general correspondence from marginal notes or verbal instructions, as well as reply to incoming mail and other material for the President and CEO’s signature. Exercise judgment and discretion in determining which matters can be acted upon by other senior management staff without referral to the President and CEO.
· Prepare accurate reports, summaries, analyzes and set up and maintain files and records, any or all of which involves confidential/insider information.
· Meet monthly with the office services department to review on-going objectives for the office. Provide back up and assistance to other administrative personnel as required.
· Organize, coordinate, and provide communication necessary for all meetings such as strategic planning, board of directors, and other confidential company business. This may include acting as host/hostess for the meetings.
· Oversee company plane travel schedules including developing efficiencies in the process such as using the Outlook Calendar System.
· Provide administrative support under the direction of the Vice President of Operations as needed. This includes preparing the weekly Critical Factors for Operations, as well as preparing and submitting the Government Meat Bid to USDA.
· Maintain company credit card file ensuring the appropriate approval is obtained for new and renewed requests.
· Order business cards for Lakeside personnel as needed and maintain the file.
· May perform other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
· Associate degree or two years College or Technical Degree. Minimum of five years prior experience supporting a Chief Executive or a Senior Level staff member.
· Strong Microsoft Office Suite Skills. Previous Manufacturing experience and Board experience a plus.
· Ability to perform duties with little direction or guidance.
· Ability to make good decisions and solve problems with little assistance.
· Basic understanding of accounting principles and ability to apply them accurately.
· Must be able to type 50 wpm with accuracy.
