Job Description:

Madison College School of Academic Advancement has an opportunity for an engaging individual to join the team as a Student Support Specialist.

The Student Support Specialist plays a pivotal role in the School of Academic Advancement Department here at Madison College. This position collaborates with additional staff members to provide instructional support and services to basic education and English as a Second Language (ESL) students enrolled in the School of Academic Advancement. Serving as a receptionist and providing enrollment, registration, testing, and data entry support for the department. Will also provide support for School of Academic Advancement Advising and Registration sessions, traveling to instructional sites may be required.

As per the agreed terms with the supervisor, the Student Support Specialist maintains a flexible schedule from Monday - Thursday 12:00pm - 8:00pm and Friday 8:00am - 4:00pm, some Saturday hours may be needed. This full-time onsite position is an opportunity located at Goodman South Campus.

This position is grant funded through June 30, 2025, continuation of this position is dependent on continued grant funding beyond this date.

Essential Duties:
  • Serve as a receptionist and contact person for the School of Academic Advancement main office located at the Goodman South Campus.
  • Assist with group and individualized ESL Advising and Registration sessions throughout the Madison College District.
  • Assist with registration of GED/HSED, basic education and ESL and developmental students. Review and analyze student records to determine which courses students need to take in order to make progress toward their goals.
  • Provide front line assistance with scheduling advising appointments and provide support to the advisors within the School of Academic Advancement.
  • Administer multiple assessments using standardized testing procedures. Ensure test accuracy, including time limits, state mandated testing procedures, test security, and controlled testing environment.
  • Serve as a resource and support to part-time faculty who are teaching within the School of Academic Advancement.
  • Assist with data entry of all grant-required tests, including TABE, TABE Clas-E and all grant-required Client Reporting information, including demographic information, student goals, grant usage, employment outcomes, graduation outcomes, and transition outcomes.
  • Maintain alpha and numeric filing systems, utilizing both paper and electronic systems.
  • Prepare forms, memoranda, and correspondence, maintain confidentiality regarding student information.
  • Maintains a commitment to the college mission, vision, and values.
  • Other duties as defined by department, college, or officials.


Knowledge, Skills & Abilities:
  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Ability to support adult students in making progress toward their goals. Knowledge of placement sheets, knowledge of course sequence in developmental education.
  • Demonstrated organizational skills and attention to details and logistics.
  • Skill in designing, creating, and disseminating promotional materials for educational programming.
  • Ability to independently organize and prioritize work.
  • Ability to work as part of a team to deliver student orientation.
  • Bilingual in English and Spanish.


Minimum Qualifications:
  • Associate Degree or equivalent working experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • One (1) year of work experience directly related to the skills required for successfully performing the duties of this position.
  • Bilingual in English and Spanish
