I. JOB OVERVIEW

Job Description Summary:
GW's Department of Mechanical and Aerospace Engineering (MAE) strives to foser a diverse program of research and education directed at a wide range of problems in areas such as bio-inspired engineering, bioengineering, energy and sustainability, multi-scale modeling and simulation, nanotechnology, mechatronics and robotics, machine design, manufacturing, fluid mechanics, solid mechanics, and materials science.

Under direct guidance of the Department Chair, the Department Operations Lead will support the department's student and faculty population in one of the largest and most vibrant departments within the School of Engineering and Applied Science. MAE is seeking a Department Operations Lead to oversee the day-to-day administrative and academic operations of the department.

Responsibilities Include:
  • Provides administrative support to the Department Chair.
  • Assists the Chair in keeping the graduate student support account expenditures up to date.
  • Coordinates course scheduling activities and assists the Chair in activities related to the revision of Bulletin (Course Leaf and Course Management).

- Serves as the MAE Office first point of contact, and independently solves problems, for faculty, staff, and students.
  • Oversees and processes the department's monthly Purchasing-Card expense reports.
  • Initiates and manages recruitment process for Postdocs, Staff, Faculty, Students, and Temporary employees.
  • Processes Visiting Scholars and J1/H1B Visa applications
  • Serves as a liaison between the department and other SEAS support teams regarding matters that impact their department.
  • Serves as departmental employee timekeeper.
  • Initiates, manages, and processes all graduate student support/awards and coordinates internal and external departmental communications.
  • Manages the doctoral qualifying examination process.
  • Coordinates and monitors all department events, including retreats and advisory board meetings.
  • Assists faculty with logistics for Special Symposiums and Workshops.
  • Assists the faculty and students in the procurement of lab and other supplies.
  • Supervises and provides guidance to the Department's Operations Assistant in the execution of their duties.

The Department Operations Lead performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
