Job Description:

Madison College seeks a Part-time Senior Administrative Coordinator to play a vital role in supporting the Associate Vice President of Student Access and Success. In this role you will provide advanced administrative support, focusing on managing operations, hiring, and assigning processes, purchasing & budgeting, as well as nurturing relationships with internal and external stakeholders within the Division of Student Affairs.

As the primary point of contact for the Associate Vice President, the Part-time Senior Administrative Coordinator offers support by coordinating resources and referrals to college and community-based programs and services. This role also involves handling student concerns and complaints and making initial triage decisions on issues brought by faculty, staff, or students.

The Part-time Senior Administrative Coordinator ensures the office's efficiency and integrity by staying current on college and academic policies and procedures, planning, and executing short and long-term projects, and addressing day-to-day challenges. This position reports directly to the Associate Vice President of Student Access and Success.

This is a part-time, 25-hours-a-week, 52-weeks-per-year position, flexible work schedule Monday - Friday between 8:00 am - 4:30 pm.

Essential Responsibilities:
  • Leads operational activities such as: responding to inquiries or complaints made to the unit by phone, email, or in-person; assisting in planning, prioritizing, coordinating, and administering projects and processes assigned by the Associate Vice President; ordering and distributing supplies; and identifying and leading collaborative process improvement activities.
  • Coordinates and schedules unit-wide training, meetings, and other events, as well as manages the calendar of the AVP. Provides support in planning, coordinating, and booking travel for training, professional development, and other opportunities for the AVP, as well as assisting in developing agendas, reports, presentations, white papers, etc.
  • Provides primary budget support in the development, modification, and administration of complex general fund and grant budgets. Analyzes and prepares budget allocations and cost estimates for projects within SAS. Makes needed adjustments due to continuous changes and reconciles information to ensure accurate financial records. Makes recommendations to the AVP for budget planning and coordinates department-related purchasing processes.
  • Assists in the administration, implementation, and execution of onboarding and offboarding processes for student and casual employees. Organizes welcome packets and activities for new team members to ensure that all members feel welcomed upon joining the team from the AVP. Assists in the communication to staff of start dates and the reporting location and personnel.
  • Coordinates Student Access and Success, and cross-functional event logistics to include in-person and virtual events for technical needs, and facility planning, and acts as the point-person for all event partners. Oversees registration processes and marketing logistics to enhance the experience.
  • Maintains a commitment to the college's mission, vision, and values.

Knowledge, Skills & Abilities:
  • Skill in communicating effectively, both orally and in writing, ensuring correct grammar, spelling, punctuation, and modern English usage.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Knowledge of relevant college policies, procedures, and departments. Ability to learn and retain new information, systems, and processes.
  • Knowledge of and ability to learn and use advanced features of software, such as Microsoft Office, PeopleSoft Student Administration System, Navigate Student Success Platform, CRM, Workday and Cognos.
  • Demonstrated ability to prioritize competing demands and make decisions under pressure. Strong organizational skills, precision, and keen attention to detail. Ability to be flexible and adapt to a fast-paced office environment with a commitment to professional development.
  • Ability to work independently, use critical thinking and analysis to proactively solve problems and improve processes.
  • Ability to collaborate within a team, coordinate work with team members, review the work of others, and maintain appropriate quality and production standards to meet unit goals. Respond promptly and thoroughly to requests from students, staff, faculty, administrators, and community members.


Minimum Requirements:
  • Associate degree or equivalent working experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • Three (3) years of work experience directly related to the skills required for successfully performing the duties of this position.
