The Meetings Coordinator is an essential member of the Meetings and Events team and supports various meetings and events for NCBE. The coordinator will have strong administrative skills with consistent, accurate attention to detail and excellent writing and proofreading skills. The coordinator is expected to maintain a high level of professionalism in all communications and be able to work comfortably with contacts in person and via phone, email, and virtual meeting platforms.

Essential Duties and Responsibilities:

  • Produces, designs, edits, and proofreads meeting-related documents.
  • Creates content on meeting websites and apps for meetings and events.
  • Accurately proofs meeting materials and practices impeccable quality control as well as discretion in handling confidential material.
  • Works with new technologies as needed to enhance the work of the department.
  • Assists with planning and coordinating details of live and virtual meetings and events such as committee meetings, conferences, webinars, workshops, and seminars.
  • Assists with logistics and food and beverage needs for internal meetings.
  • Assists with event logistics including registration and attendee tracking.
  • Other duties as assigned.

Qualifications:

  • Associate degree required; bachelor's degree preferred. Experience may be considered in lieu of degree.
  • 1-4 years of meeting/event planning experience preferred.
  • Excellent communication and copy writing skills.
  • Consistent, accurate attention to detail.
  • Strong organizational skills.
  • Self-starter with the ability to work independently as well as thrive in a team environment.
  • Experience in a fast-paced office setting.
  • Ability to manage multiple projects simultaneously.
  • Strong proficiency with Microsoft Office Suite and Zoom preferred.
  • Experience working with new technologies and web-based applications.

Travel: Occasional travel required (3-4 times per year).

The Meetings Coordinator may be eligible for hybrid remote work after successful completion of a training/probationary period.
