Job Summary:

The HR Coordinator serves as the first point of contact for employees at all levels within the organization and directs employees to the proper resources within HR for assistance. This job supports the Bedford Human Resources department in providing strong administrative support on all HR related projects and activities as needed, including but not limited to new hire on-boarding and orientation coordination, database administration, data tracking and input, maintenance of employee records, and other administrative tasks as needed.

Responsibilities

Key Accountabilities

  • Serves as main point of contact for employees and visitors entering HR department; fields employee questions in a professional and timely manner, directs employees to appropriate resources
  • Responsible for creation and maintenance of employee files, including new hires and terminations in accordance with laws and regulations.
  • Responsible for creation and maintenance of employee records in HRIS systems, including but not limited to, new hires, employee data changes, terminations. Notifies key stakeholders of changes, as necessary.
  • Manages employee pre-employment and onboarding process, including, onboarding documents, background checks administration and I-9 verification. Coordinates with HRBP, Talent Acquisition, Benefits, Payroll and Training, as needed.
  • Delivers weekly new hire orientation for all Bedford and Field-based new hires. Partners with HRBP, Benefits and Training on content creation and updates.
  • Provides administrative support for Bedford HR department, including invoice processing, purchase orders, departmental supplies, holiday calendar maintenance and other operational department needs.
  • Provides administrative support for employee requests such as employment verifications, vendor credentialling, and Tuition Reimbursement Program.
  • Coordinates site level Company events such as holiday party, holiday breakfast, summer barbeque, and service awards luncheon, in partnership with employee events committee
  • Other duties as assigned.

Qualifications

Minimum Knowledge & Experience required for the position:

  • Bachelors Degree in Business, Human Resources, or related field is required.
  • Minimum of 2 years experience in administrative role supporting Human Resources function required.
  • SHRM or PHR Certification desirable.

Management has the discretion of substituting relevant work experience for a degree and/or making exceptions to the years of experience requirement.

Skills & Capabilities:

  • Excellent written and verbal communication skills.
  • Strong customer service skills.
  • Technologically savvy with ability to comfortably and confidently learn and navigate databases and HR systems
  • Strong Microsoft Office skills, particularly with Word, PowerPoint and Excel
  • Experience interacting with and maintaining confidential information
  • Highly organized and detail oriented.
  • Strong collaboration and team working skills
  • Working understanding of human resource principles, practices and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment.

Travel Requirements:

No travel required.May be required to attend company events after hours and/or off-site 1-2x/year

Work Environment:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate. Must be able to detect, identify and inspect scientific data. The employee will be required to stand and/or walk up to 8 hours per day and/or sit for up to 8 hours per day. Must be able to use hands to feel objects, including keyboard, telephone and pipettes or other lab equipment. May need to reach with hands and arms, climb stairs, balance, stoop, kneel or crouch. Will be required to talk and hear and have specific vision abilities, including close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. May occasionally have to lift and/or move up to 25 pounds. The noise level in the work environment will vary but is usually moderate. This position is very active and requires varying levels of mobility.
